Terms of service

The ground rules for clubs and everyone they invite.

1. About these terms

These terms apply when you use Squono (squono.com and its TV and phone versions). Squono is provided by Wilgenry Software Limited (“we”, “us”), a company registered in England and Wales, company number 17392061, registered office 42a Church Street, Hatfield, England, AL9 5AW.

There are two kinds of user:

  • Clubs – sports clubs and schools that register to use Squono, including any paid features such as Squono Pro. The person who registers a club confirms they are authorised to accept these terms for the club.
  • Members – parents, guardians, coaches, managers, camera operators, club officials and invited guests who use Squono because a club has invited them. Squono doesn't charge members; a club may ask members to pay club fees (such as subs or kit) through Squono Payments.

Our privacy notice explains how we use personal information. By creating an account or using Squono you agree to these terms.

2. Accounts

  • Accounts are for adults aged 18 or over. Children don't have accounts.
  • Invitations are personal and tied to an email address. Don't pass on an invitation, a guest link or your sign-in details, and don't let anyone else use your account.
  • Keep your password and two-factor codes safe, and tell us straight away if you think someone else has used your account.
  • Club owners and administrators must turn on two-factor authentication.
  • You can close your account at any time from your account settings.

3. The club's responsibilities

Each club is responsible for how it films, and for what it uploads and shares. In particular, the club must:

  • have a lawful basis under data protection law for filming players and sharing recordings, tell parents and players how recordings are used, and obtain any consents it relies on;
  • have and follow a photography and filming policy, as The FA recommends in Guidance Note 8.3, together with the safeguarding rules of its league, county FA and The FA – including offering parents an opt-out, respecting opt-outs, and telling the opposition before filming;
  • confirm in Squono, before anything is published, that it has the permissions and policies it needs to film and share recordings;
  • decide carefully who to invite and who can see each item, keep its member list up to date, and remove people who should no longer have access;
  • give a safeguarding or welfare contact and deal promptly with concerns and removal requests from families, including acting on them in Squono (for example by unpublishing or restricting a video);
  • only give upload access to adults the club trusts and has approved;
  • keep its own original camera files. Squono keeps a streaming copy for watching and is not a backup or archive service.

The club is the controller of the personal information in its team content, and we process it on the club's behalf, as described in our privacy notice.

4. Acceptable use

When using Squono, you must not:

  • share, post or publish videos, clips or photos outside Squono unless the club allows it;
  • record your screen or use other tools to get around a club's download or sharing settings;
  • try to access teams, clubs or content you haven't been invited to, or test, probe or overload the service;
  • copy, scrape, resell or build a competing service from Squono or its content;
  • use Squono to harass, bully, embarrass or contact children, or to contact anyone in a way they haven't agreed to;
  • use someone else's account or pretend to be someone else;
  • upload viruses or anything that could harm the service or other users.

5. Content that is never allowed

  • Anything filmed or photographed in changing rooms, showers or toilets.
  • Indecent, sexual or exploitative images of anyone, or anything that sexualises children.
  • Content that is unlawful, threatening, abusive, hateful or discriminatory.
  • Content that identifies a child in a way that could put them at risk, such as full names with addresses or schools.
  • Content filmed against a court order or other legal restriction on a child being filmed or identified.
  • Medical records, safeguarding case files or other sensitive records.
  • Content you don't have the right to upload, including other people's copyrighted material.

Where we become aware of child sexual abuse material we will remove it, keep what the law requires, and report it to the relevant authorities.

6. Your content and our licence

  • Clubs and their members keep ownership of what they upload. You confirm you have the right to upload it and that doing so doesn't break these terms or the law.
  • You give us a non-exclusive, royalty-free licence to store, copy, process, stream and display that content, only to provide Squono to the club and the people it chooses, and to keep the service secure. The licence ends when the content is deleted, apart from short-lived backups and anything we must keep by law.
  • We never use club content for advertising or marketing, never make it public, and never sell it. Allowing downloads is a club's choice; it can't stop someone copying what they can see.
  • Squono itself – the software, design and our brand – belongs to us.

7. Safeguarding and removal

  • Anyone can report a concern or ask for content to be removed using “Report a concern” or “Request removal”. Reports go to the club's safeguarding contact, administrators and the team manager. See our safeguarding page for other ways to report.
  • Coaches, managers and club administrators can unpublish or restrict content immediately.
  • We may remove or restrict any content, or suspend sharing, without notice where we believe it is needed to protect a child or anyone else, to comply with the law, or while a concern is looked into. We keep a record of what was removed and why, without children's names.
  • If a child is in immediate danger, call 999. Squono is not an emergency service and reports aren't monitored around the clock.

8. Suspending and ending access

  • We may suspend or close an account, a team or a club if these terms are seriously or repeatedly broken, to protect children or other users, if we are required to by law, or (for clubs) if payment is overdue after we have reminded the club. Where it is safe and lawful to do so we will explain why and give the club a chance to put things right.
  • A club can cancel its subscription at any time; access continues to the end of the period it has paid for. Before deleting a closed club's videos we give it notice so it can download anything it is allowed to keep.
  • Members can leave a team or close their account whenever they like.

9. Fees, allowances and retention

  • Parents and members never have to pay. Running a team on Squono is free for clubs. Paid features, such as Squono Pro for match video, are paid for by the club per team, monthly or annually, at the prices on our pricing page or as agreed in writing. Prices are shown with how VAT applies.
  • Instead of the club, a team manager, coach, club officer or (once the team's coaches approve) a parent may choose to pay for one team's Squono Pro with a Season Pass: one payment, with the price and end date shown before paying, covering the team until the end of the club's season (or also the next season when 30 days or fewer are left). It doesn't renew. Because the pass starts straight away at your request, you lose your right to cancel once it has started; a pass bought to start later can be cancelled for a full refund until it starts. Paying never changes what anyone can see.
  • Bank transfers and cash payments a club collects through Squono, including tournament entry fees, carry no Squono fee. If a club chooses instant online payments (such as card or Pay by Bank) through its own Stripe account, Squono may charge the club a fee on them, which is shown before payment; Stripe's own fees also apply under the club's agreement with Stripe.
  • We may change prices by giving the club at least 30 days' notice by email. A change applies from the club's next billing period after the notice ends, and the club can cancel before then.
  • Card subscriptions renew automatically until cancelled. Invoices are payable within the time shown on the invoice. Unless the law requires otherwise, fees already paid for a period aren't refunded if a club cancels part-way through it.
  • Each team has allowances for uploads, stored video and viewing. We tell the club when a team gets close to a limit and won't charge extra without the club's agreement.
  • Complimentary access may be agreed for some clubs. It isn't guaranteed and may be time-limited.
  • Full match recordings are kept for 12 months by default, or the period the club chooses within the limits in its settings, with notice before anything is removed.

10. Availability and changes to the service

We work hard to keep Squono running smoothly and securely, but we can't promise it will always be available or free of errors. We may need to pause it for maintenance, security or reasons outside our control. Watching on TVs depends on your devices, browsers and casting equipment, and uploads from phones may pause if the screen locks. We may improve or change features; if a change significantly reduces what a paying club gets, we will tell the club in advance and it may cancel.

11. Our responsibility to you

  • Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that the law doesn't allow us to limit or exclude.
  • If you use Squono as a member (a consumer): we are responsible for loss or damage you suffer that is a foreseeable result of us breaking these terms or failing to use reasonable care and skill. We aren't responsible for loss that wasn't foreseeable, for business losses, or for loss caused by someone else (for example another member who copies or shares content in breach of these terms). Nothing in these terms affects your legal rights as a consumer.
  • If you are a club: we aren't liable for indirect or consequential loss, or for loss of profit, revenue, data or goodwill. Our total liability to a club arising from or in connection with Squono in any 12-month period is limited to the fees the club paid us in that period.
  • We aren't responsible for the club's own decisions about what to film, upload and share, or for original files the club didn't keep.

12. Trademarks and independence

Squono is independent. It is not affiliated with or endorsed by The FA or any camera maker. XbotGo, Veo and other product names are trademarks of their respective owners.

13. Changes to these terms

We may update these terms, for example when the service or the law changes. We will give club administrators at least 30 days' notice of changes that materially affect them, and show the date of the latest version at the top of this page. If you don't agree to a change, you can stop using Squono or (for clubs) cancel before it takes effect.

14. Law and disputes

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction. If you are a consumer living in Scotland or Northern Ireland, you can also bring proceedings in your local courts. Please contact us first so we can try to put things right.
